Substitution Timetable by Stage

Create a separate substitution timetable for each school stage: choose the per-stage list, set rules and teacher weekly limits, then auto-fill and print each stage.

What does “by stage” mean?

A substitution timetable by stage means each school stage (Primary / Middle / High…) has its own timetable. This is useful when substitution policies, teacher availability, or period distribution differs between stages.

1) Open the Setup Wizard

From the sidebar menu, open Substitution Timetable to access the Substitution Management page.

Then click the Setup card to open the Setup Wizard.

2) Select “Per-Stage Substitution List”

In step one of the wizard (Substitution Mode), select Per-Stage Substitution List to create multiple substitution timetables, one for each stage.

Then click Next to choose Distribution Rules that match your school policy.

3) Set weekly limits per teacher

You will see the teacher list. Adjust the weekly limit for substitution periods for each teacher as needed.

If you don’t want a limit for a specific teacher, set the value to 0.

When done, click Next to review, then click Save & Finish.

Note: Weekly limits support fair distribution and prevent overloading the same teacher within each stage.

4) Open the timetable and select a stage

After finishing the wizard, you’ll return to Substitution Management. Click the Substitution Timetable card to open the timetable grid.

Inside the page, choose the school stage you want to generate a substitution timetable for.

5) Create and fill the timetable (in seconds)

After selecting the stage, click Auto Fill to generate the timetable in seconds.

Select the days and periods, then click Create to start smart distribution.

6) Print and repeat for other stages

Once the timetable is complete, click Print to get a printable version.

Repeat the same steps for other stages to keep substitution timetables organized per stage.
